PLANNING, VENUE SEARCH & DESIGN
Kickoff meeting to establish your vision, priorities, guest experience, budget, and planning timeline
Venue search and selection, including curated recommendations, site visits, proposal review, and contract guidance
Collaborative event design and creative guidance, including mood boards, color palette, layout concepts, floor plans, and overall aesthetic
Development of the event format and flow to create a celebration that feels personal and reflective of you as a couple
Comprehensive budget development and ongoing budget tracking throughout the planning process
Full planning timeline with milestone management to keep every decision on schedule
VENDOR SOURCING & MANAGEMENT
Curated vendor recommendations across all applicable categories, including catering, bar, florals, entertainment, rentals, lighting, photography, videography, beauty, transportation, stationery, and more
Coordination of vendor meetings and proposal comparisons
Review of vendor contracts prior to signing to identify key terms, potential gaps, and opportunities for negotiation
Ongoing communication and management of all contracted vendors throughout the planning process
Single point of contact for vendors leading up to and throughout the Saturday celebration
PRODUCTION & LOGISTICS
Coordination with the venue and vendors regarding access, power requirements, loading, staging, rentals, and event logistics
Creation and management of a comprehensive production timeline and detailed run-of-show
Regular planning meetings and check-ins, plus final venue walkthrough(s) to confirm all event details
Management of load-in, installation, breakdown, and load-out schedules across vendor teams
Coordination of all event-day logistics to create a seamless and cohesive experience from arrival through the end of the celebration
CONTINGENCY PLANNING
Development of weather contingency plans and alternate layouts when applicable
Guidance on event insurance requirements and collection/review of vendor Certificates of Insurance
Proactive troubleshooting and logistical planning to minimize surprises throughout the planning process
GUEST EXPERIENCE
Room block recommendations and coordination, if applicable
Transportation planning for guests and VIPs, as needed
Welcome gifting, guest communications, and event itinerary guidance
Thoughtful planning of guest arrival, flow, transitions, and key moments throughout the celebration
VIP and immediate family coordination throughout the event
SATURDAY EVENT PRODUCTION
Full on-site event management from first vendor arrival through final breakdown
Oversight of vendor setup, installations, rentals, florals, signage, stationery, and personal décor
Direction and management of all planned event moments, transitions, and overall guest flow
Coordination of the couple, immediate family, VIPs, venue, and vendors throughout the celebration
Timeline management and real-time adjustments to keep the event running smoothly
